GENERAL DESCRIPTION:

The Product Acquisition Coordinator is a leader who supports St. Louis Area Foodbank's Product Acquisition department. The Product Acquisition Coordinator will enhance our ability to provide systematical support for the department related to purchasing and donation activities. The Product Acquisition Coordinator will interface with department leads and Foodbank staff to ensure timely process of orders, stock replenishment, production planning, and issue resolution. The Product Acquisition Coordinator may also work with other strategic direction initiatives (Food Drives & Retail Program) that the St. Louis Area Foodbank (SLAFB) is spearheading for growth and success.


PRODUCT ACQUISITION COORDINATOR OBJECTIVES:

  • Instill systematic efficiencies across the Foodbank through our order process.
  • Ensure foodbank is always in stock on needed items.
  • Opportunity to build or strengthen groups facilitation and leadership skills.
  • Gain skills and knowledge in purchase order management and vendor relationship building.

RESPONSIBILITIES:

  • Manages donation, purchase, and supply orders in the Foodbank's ordering system.
  • Performs inventory functions in the Enterprise Resource Planning (ERP) system, ensuring quality and accuracy.
  • Develops supplier and donor relationships.
  • Manages in-bound freight communication and relationship with OTR/over-the-road carriers.
  • Manages Foodbank's Re-order Point (ROP) document for purchased items for all stocked foodbank programs.
  • Owns production schedule and inbound stock replenishment for Volunteer Center (VC) projects.
  • Assists with putting items out to bid with vendors.
  • Logs department cost savings.
  • Provides inspection protocols for issues related to inbound donation and purchase orders and works with donors and/or vendors to resolve issues in a timely manner.
  • Works collaboratively with receiving staff to ensure timely receipt of product.
  • Ensures foodbank is prepared with the inventory they need to fulfill orders on time and in full across all programs.
  • Ensures accuracy in all in-bound replenishment paperwork and all data entry as a job function.
  • Prepares and/or review reports to ensure data entry/database accuracy.
  • Leads in identifying and implementing process, process improvements and implementation.
  • Create Manufacturer product item cards for department and online Agency ordering portal.
  • Track funds spent via grants, purchasing initiatives, etc.
  • Create and distribute stock in-bound delivery reports.
  • Organize incoming files for the department and process receipts for Feeding America.

In order to gain a full understanding of the Food Bank and our scope of work, the Product Acquisition Coordinator may participate in a variety of program areas including, but not limited to:

  • Volunteer Center (VC)
  • Community Food Drives
  • Food Collection Events
  • Ride with a driver for food distribution.

QUALIFICATIONS:

  • Non-profit experience preferred.
  • Strong written, verbal communication and interpersonal skills.
  • Experience with coordinating Purchase Orders, Inventory Systems, or Data Integrity systems preferred.
  • Ability to work cooperatively with different types of personalities.
  • Comfortability with engaging in negotiations.
  • Proficient with Outlook, Word, Excel, PowerPoint, and other web-based applications
  • Broad understanding of evaluation, programs, and logic models.
  • Ability to work independently and as part of a team.
  • Driver's license and reliable transportation.
  • Passion for the Foodbank mission and the ability to demonstrate SLAFB's Core Values: Stewardship, Teamwork, Agility and Respect
  • There is a chance the associate would be required to lift 25 lbs.

WORK SCHEDULE: The Product Acquisition Coordinator will work a total of 40 hours per week. The hours are Monday - Friday between the hours of 7:30AM - 4:30PM. This role is expected to work primarily onsite at the Foodbank campus. However, flexibility will be granted as appropriate.


There is an occasional weekend (Saturday/Sunday) or evening hours that may be required.


PHYSICAL REQUIREMENTS:

The Product Acquisition Coordinator will spend significant time in and out of the warehouse:

  • Walking to and from the corporate office to the warehouse, both of which are on the Foodbank campus).
  • Walking on hard concrete surfaces (in the warehouse).
  • Ability to lift, bend, stoop, pick up and move objects up to 25 pounds.
